Isn’t that what we as professionals should do on an ongoing basis? Find the latest and the best for increasing the results of our meetings?

I for one find it hard to keep up to date and reading the Meeting Support Institute newsletter is certainly a shortcut to some real innovative tools, and advanced thinking.  Much more study is needed in the low season, but for now the to-the-point topics listed in this e-mail at least give you some introduction to change, innovation, technology that may become crucial for your influence in your future projects.

When we say tools, we mean "anything we can do for or bring to" the meeting to influence the content side of it (learning, networking, motivation).
These tools can be concepts, people, creative, technical or technological tools.
Five large groups of tools are CHATTY tools:

H    Human:         stage facilitators, speakers, actors, backstage technicians

EVENTIA & MSI

Organise the first joint conference about technology and Meeting Support

Last week the first official conference call took place between Eventia en MSI. The topic was the upcoming conference. The agreement is to organize it around midweek in the second half of January 2008 in an innovative venue in central London. The MSI members will be exclusive in some instances and get serious discount rates in others. MSI will build the program and provide the content plus some members will be allowed to sponsor meeting support for use at the conference.
Eventia is expecting a few hundred participants and is sharing exposure with MSI. A small tradeshow is investigated for a limited number of MSI members. The logistical organization will be handled by Eventia that recently installed a new secretariat.

We look forward to our second one day conference, and with the support of EVENTIA, this guarantees to be a significant growth in turnout, compared to our first one in April 2007.

Brainstorming session with 10.000 people

Philips recently developed an original way of brainstorming with its employees and at the same time it organized a unique and unequalled meeting. It is fun to brainstorm with ten to twenty people. Philips organized a session with ten thousand people at the same time, spread over 67 locations all over the world. Last year Philips bought Avent, the brand that is known by their baby products. A large assortment, but probably not yet complete. So Philips thought of a brainstorm session with a divers group of experts; parents, uncles, antes but also people without children. All of them working at Philips. The session started in Asia and went around the world in 24 hours. At every location, they worked in a similar way; groups of 12 people. Stefan Verhoeven, leader of the division domestic devices in the Netherlands, didn’t want to tell a lot about what was conceived. “But you could see that they paid a lot of attention to health and safety.”

FIRST PRESENTATION BY A MEMBER

Paula Crerar (nTag) speaks at Employee Involvement Association

Paula Crerar from nTag has accepted to do a 90 minute presentation for the Employee Involvement Association. Certainly an area in which meetings and meeting support can play a role. Paula will focus on the WEB 2.0 as a theme and she will introduce the MSI and its members. The Audience are mostly HR people for corporations and that is clearly and audience that organizes lots of meetings and conferences as well. Obviously Meeting support has a lot to do with the participation of the participants (what’s in a name) in many conferences. Look at the Learning Meetings from Ib Ravn, tools like Crystal Interactive, Synthetron, Badge2Match etc. All these have a supporting roll in the collaboration, the participation at conferences. Formats like Open Space and WikkiWorkshops all create an environment of participation.
Paula will obviously apply some techniques with these participants, to make them participate as well. Walk the talk, as they say.

A growing consensus emerges around the hypothesis that during sleep, our brain actively organises and efficiently stores the information gathered during the day. Sleep gives the brain time to analyse quietly without any new incoming sensations... Is it of influence in learning to organise late night activities at conferences and meetings? Is is good to start conference activities very early? Or should we make sure our delegates get enough sleep?

Improving a meeting’s turnout

 

Dear reader,

 

Our first conference ‘the Meeting Content Conference’ was a success. The many positive reactions were heart warming and the support for the next one was overwhelming.  The ICCA representative said “we must come with more participants next time”.
The amount of energy, ideas (and work) this conference generated is truly inspiring and we can not thank our sponsors and volunteers enough for making it all happen. This newsletter titles ‘improving meeting turnout’ because that is what it’s all about. Every newsbyte below contains a valuable element that you can apply to your next meeting with improvement on the objectives side as a result. How to use music in meetings, how to improve networking, how to learn more about technology for influencing the final turnout of your meetings or conferences.

This is what we all want to realise, making meetings more successful in its end results. To go beyond a great and fun experience by adding value on the meeting content side, increasing the ROI.

ROI RESULTS

What people said about our conference

The first Meeting Content Conference has been evaluated by the European Event ROI Institute for attendee satisfaction and intended actions (Level 1 of the 5 ROI measuring levels) and learning (Level 2). A further evaluation is planned in August where participants will be asked to report on how the conference has actually had an impact on their work behaviour (Level 3).

The participants were overall very satisfied, 94% said the conference was ‘good’ or ‘very good’.

Meeting Support Manager Course
Abbit Meeting Support is organising its first multiple day course for Meeting Support Management endorsed by the Meeting Support Institute. This course aims to increase the knowledge of individuals on the creative, technical and technological side of meetings. About 20 modules are given by multiple experts and most have hands on workshop elements. The group will be international and small for high quality interaction. Currently the course is planned for 5 days taking place in Belgium at a registration fee of € 1.950,-. Lunch and certificate included. Local low cost hotel accommodation is available.

New application with Shocklogic software

As an important step into markets such as Russia, China, Japan and Korea, Shocklogic has implemented full multi-character set support in its event management systems. Shocklogic’s applications take this design approach all the way to the database level, meaning that integration with – for example – office systems (Microsoft and others) will be done without character conversion, thereby ensuring full interoperability in existing environments and no changes to existing software, hardware or operating systems. This new functionality places Shocklogic’s applications in a class of their own in the field of international event management software, says Johan Martinez, a member of the Meeting Support Institute.

Shockfish SA, the creator of Spotme announced that it will launch a new and improved Spotme service for the global meetings industry.  The new Spotme will first be used at meetings in Europe, China, and Singapore this June.

After speaking at our conference, Professor Caroline van Niekerk wrote a paper on the power of music in meetings. Music’s power has been both recognised and documented since the time of the Ancient Greeks. On Friday 20 April in Frankfurt, the meetings industry took a small step toward changing the way meeting content is created and delivered. This first ever Meeting Content Conference, sponsored by IMEX and OptionFinder Europe was called a ‘groundbreaking and historic’ conference by some senior industry people.

Dear meeting planner,

Let me remind you that registration of the Meeting Content Conference can still be done.

2006 promises to be a great year for the Meeting Support Institute. Membership keeps growing and it becomes clearer what our mission is in this great industry. "One doesn't know what one doesn't know" goes the saying and I humbly agree. I'm just back from an amazing PEC-E in Copenhagen (MPI's European conference) and I did learn a thing or two there... It is amazing to see how the interest from our industry is increasing for the content side of meetings; the things that we organise meetings for: learning, networking and motivation of participants. I had the distinct honour to see Ib Ravn in action after seeing him 3 years ago at the Brussels Meeting Support Day in 2004. His book, recently translated in English is a stepping stone for our industry towards growing the content side of meetings (more below). I was proud to be invited to speak, later this year, at a conference of professors in Meeting Management from universities all over Europe. I will, as you can assume, be more than glad to introduce this elite group to the Meeting Support Concept and the idea of a new profession: the Meeting Content Manager, preferably Certified.

Good news for meeting planners, producers, PCO's and others meeting designers is that our members are growing and evolving with the Meeting Support Institute as a catalyst. Already a second strategic partnership was announced, this time at Confex between two MSI members.

The IMEX group stand is bundling a great set of innovations, the knowledge base on our website keeps adding great thing to discover, members and academics share research reports with us and much more.

First of all a happy New Year!
We wish you good health and good business for 2007!

2006, the first year of the meeting support institute is behind us. It was quit a hectic year with Ilse becoming our first full time, several new tradeshows, presentations, publications, new academic connections, etc.

Ilse has been working like mad in the past few weeks to start the 2007 season. We already have a lot of initiatives in the starting blocks and some new ones too! The most exciting thing we are investigating at this moment is our own conference in which we will address a number of truly innovative topics by "out of the industry" speakers. TBC...

It's also a pleasure to announce a new member and a few dates (see below) where you can learn more about meeting content management and meeting support.

On February 7th Maarten Vanneste will speak about "Meeting Technology for incentives" in Athens, Greece.

Terje who is a 24 year old Norwegian started on September first. He will help Ilse Matthé in the day-to-day issues of the MSI. Terje will mainly concentrate on the content side of our association and Ilse on the commercial side. Our website will be put into shape and the most exciting project on his long list is an automated gap analysis and advisory system for meetings.

Quality in Meetings dedicates one page to the Meeting support institute

Eric De Ridder from QM pledges one page in each European magazine to the MSI. Twice a year the European QM and 4 times a year in Meeting Europe (the EU magazine from MPI).Also the bi-weekly e-newsletter gets an MSI banner with web link. This kind of media support is what we need to generate enough information and exposure to meeting support. With more of such support, the Meeting Support Institute will become a project that impacts the industry. We only need to find members to contribute educational written pieces.

First Newsletter

 

Dear reader,

The Meeting Support Institute was founded on January 2006 and it has been hectic ever since. Our membership is growing, the number of events increase, the website grows, speaking opportunities increase, this first newsletter, our knowledge base started, ... It is good to have Ilse Matthé on board as our first staff member. Without her we would not be able to do this. We are looking forward to hire a second staff member in a few months. Staff and expenses for them, will be the bulk of our financial balance so you can imagine we need more than 20 members. By the end of 2006, we aim for 50 in our business plan and it looks feasible still. To all companies with a Meeting Support tool “We want you on board as a member!”

The association day in Frankfurt is organized by IMEX since a few Years. This year for the first time the IT Lab took place, an idea from Robin Lokerman MCI. The Meeting support was represented by Ilse Matthé and Maarten Vanneste was asked to introduce the sessions.

The Vele d’oro prize is an award for innovation in the meetings industry.
It is organized by the Riccione Conference center. The construction of a new convention center was recently started. The Meeting Support Institute was the winner in one of the 7 categories: Social dynamics and interaction.  Since the Meeting Support Institute has so many innovative member products, there is a definite connection to this event. Here we are gathering all relevant knowledge about meeting support. We publish information or links to books, articles, academics, research projects, speakers, courses etc.

The goal is to build a comprehensive core base of knowledge for our industry. Based on that in 2007 start publishing and more importantly a certification in Meeting Support Management. CMSM.

Invited by Sonic Foundry, (Member of the Meeting Support Institute), Maarten Vanneste went to the Wainhouse Research Forum in Berlin, Germany. A day on research and innovation for corporate and remote participant meetings aka Virtual Meetings. It was an eye opener to see what is coming our way. One speaker managed to predict that "in 2020, only the happy few and the brave will travel to meetings." Food for thought!

As you can see, we started our Meeting Support Institute newsletter.

The goal is to collect short news items from the association, its members and others. It is Public news, so we aim at sending it to meeting planners and Media as well as our membership.

Members are welcome to send in all the news they have in a 500 character text + picture + link (phone, e-mail or web link). The newsletter will be on our website until we have 7 or more articles. Then we will send it to our database and start a new one.
