life play a part and come together. Meetings are often inefficient and expensive. Factors of meeting success relate mostly to the extent to which the meeting expectations that exist beforehand are achieved. Meeting preparation, control and the willingness to contribute are central. Meetings should be balanced and not be monopolized by one or two dominant people as this inhibits the participation of others and the creativity to generate ideas or solutions. Technology has improved meetings ever since the invention of telegraphy in the 1850's. It was shown that the ability to interact remotely is thus far perhaps one of the greatest technological achievements for the meeting process. Several applications have been shown that are bene cial to meetings, before, during and after their occurrence."

Futurelab’s bi-annual magazine offers possible visions of the future of learning with digital technologies and other innovative resources. This magazine focuses on education, but most of the information can be used in meetings. You just have to replace the word student by delegate and teacher by meeting planner.

The No. 1 thing that people will tell you is that the value for the meeting was what happened outside the meeting rooms. I know one meeting planner who does something really cool: She puts flip charts near the coffeepots. She found that if you're talking to somebody, you need paper.


I gave a speech not long ago, and everybody there could text me questions via their cell phones while I was speaking. In front of me was a big LCD screen, and I could see their questions pop up as I was speaking. Six or seven times during my speech, I stopped and said, “Somebody just sent me a question about X,” and I responded to that. I didn't get to all of them, so the ones I didn't get to I later published in a short Q&A. That was a younger audience, and text messaging was a really powerful element.
